Job Summary

This position has an anticipated duration of 4 months.

As a Contract Coordinator,you will manage and participate in the Minnesota Department of Human Services (DHS) contracting process for all DHS contracts, including but not limited to professional/technical contracts, grants, income contracts, annual plans and master contracts. In this position, you will:
  • Actively coordinate and support DHS contracting activities and review contracts to determine compliance as to form, execution and with Department of Administration and DHS policies.
  • Update and manage contracting data on all DHS contracts and contractors, ensuring data integrity.
  • Integrate with the procedures used by the Statewide Integrated Financial Tools (SWIFT) system for contract setup, accounting, and close out.

  • Act as a central resource for all agency personnel that draft RFPs, contracts and other legal agreements. By providing accurate information and assistance regarding the State's contracting process and the procedures governing the State's contracting methods.
  • Manage DHS's contracts and related documents assuring compliance with State laws and Department policies governing legal agreements, including record keeping, processing, and execution.
  • Provide on-going assistance to program staff, Financial Operations Division staff and co-workers in the Contracts and Legal Compliance Division with the complex intricacies that are associated with the processing of contracts.
  • Provide high quality customer service to all Department staff, management, and external parties related to the contracting process, including assisting in the use of SharePoint for the entry and review of all types of contracts.


Minimum Qualifications

Two (2) years of professional experience working with contract coordination. Experience must demonstrate:
  • Strong organizational skills with an attention to detail.
  • Experience analyzing information sufficient to determine accuracy and compliance.
  • Managing contract processing, deadlines, and related documents while ensuring customer satisfaction.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Mastery of basic to intermediate computer skills.

A Bachelor's degree in Business Management or Business Administration may substitute for 1 year of experience.

Preferred Qualifications
  • Experience coordinating state professional/technical contracts and state grant contracts with applicable state laws and policies.
  • Experience interpreting and applying government regulations, rules and policies.
  • Advanced knowledge and skill in SWIFT.
  • Knowledge of software collaboration tools (SharePoint or equivalent) to provide leadership in the design, administration and implementation of such systems.
  • Excellent skills using software applications, including Word, Excel and PowerPoint, and utilizing databases sufficient to update, track and manipulate information.
