Responsibilities

  • Perform purchase requisition entry and work with buyers to create POs for parts not stocked in NNA.
  • Support field inventory cycle counts and may perform related entries and prepare count sheets.
  • Manage customer field service requests and accounts.
  • Perform all steps to process field service order transactions on SAP including service notifications, service orders, linked internal orders, delivery documents and invoices.
  • Process quotes, purchase orders and enter product orders sold by field service.
  • Review pricing, discounts, territories and assign appropriate rep commission to order line items.
  • Review customer purchase agreements, contracts and related legal documents and interface with the law department for edits.
  • Complete customer vendor documents and interface with other departments as needed to gather required information on ownership, sales, quality, safety, insurance and other required information.
  • Perform Salesforce entries for new account requests and work with order index to update customer accounts.
  • Perform customer credit card processing.
  • Interface with credit & collections on field service orders processed.
  • Provide monthly reports of sales by technician to field team and archive field transactional data both on SAP and on network drives.
  • Manage parts orders and inventory transactions.
  • Expedite back orders with buyer/planners.
  • Perform inventory goods receipts, purchase order receipts and transfer postings to technician stock locations.
  • Perform service sales reporting and archiving of transactional information.
  • Provide additional service support functions.


Qualifications

Knowledge, Skills and Abilities

  • Ability to manage multiple priorities and customer issues including those that are serious in nature.
  • Ability to multi-task in a fast-paced environment.
  • Excellent customer service and communications skills.
  • Experience with windows-based PC software such as Word, Excel, Access and Power Point.

Preferred:

  • Prior experience in a customer service capacity or service office capacity dealing directly with customers and technical staff.
  • Ability to communicate on both technical and non-technical levels.
  • Prior experience with SAP or order processing using similar business software.

Education and experience required:

  • High school diploma or equivalent
  • This position is posted at three different levels:
    • At least 1 year of experience in a customer service capacity or service office capacity dealing directly with customers and technical staff. Proven experience delivering excellent customer service.
    • At least 2 years of experience in a customer service capacity or service office capacity dealing directly with customers and technical staff. Proven experience delivering excellent customer service.
    • At least 3 years of experience in a customer service capacity or service office capacity dealing directly with customers and technical staff. Proven experience delivering excellent customer service.

Preferred:

  • Associate or bachelor’s degree in business, accounting or related discipline.
  • SAP or Service order processing and scheduling software preferred.
