Positions Summary:

We are seeking an experienced and highly organized Executive Director to provide high-level support to our President. The ideal candidate will be proactive, detail-oriented, posses a proven track record in strategic project execution and be capable of managing a wide range of administrative tasks efficiently.

This role requires excellent communication skills, the ability to navigate complex organizational landscapes, maintain confidentiality, and a strong sense of professionalism.

Responsibilities:

  • Calendar Management: Manage the President's calendar effectively, scheduling meetings, appointments, and travel arrangements as needed. Coordinate with internal and external stakeholders to ensure efficient use of the President's time.
  • Communication: Serve as the primary point of contact for the President, screening and prioritizing emails, phone calls, and other correspondence. Draft and proofread documents, presentations, and reports on behalf of the President.
  • Meeting Support: Prepare agendas, take minutes, and distribute materials for meetings attended by the President. Follow up on action items and ensure timely completion of tasks.
  • Travel Arrangements: Coordinate domestic and international travel logistics for the President, including flights, accommodations, and transportation. Anticipate travel needs and prepare detailed itineraries.
  • Administrative Support: Handle administrative tasks such as expense reporting, file management, and invoice processing. Maintain organized records and databases, ensuring accuracy and accessibility.
  • Project Assistance: Assist the President with special projects, strategic project execution, research assignments, and presentations. Coordinate with other team members and departments as needed to facilitate project completion. Assist with orchestrating and implementing strategic initiatives to drive operational efficiency
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times. Uphold the highest standards of professionalism and integrity in dealing with confidential matters.
  • Relationship Management: Build and maintain positive relationships with key stakeholders, including board members, clients, partners, and employees. Serve as a liaison between the President and internal/external contacts helping to foster cross-functional collaboration, and propel organizational growth.

Qualifications:

  • Proven experience supporting C-level executives.
  • Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team.
  • Professional demeanor and strong interpersonal skills.
  • Previous experience in project management or event planning is a plus.

Education and Experience

  • Bachelor's degree in Business Administration, Communications, or related field. 8 years of experience working in support of a CEO, COO or President.
